Planning a trip with 18+ family members sounds like a logistical nightmare, right? Trust me, we are there ! Organising a trip for this December. When we decided to organise a large family trip, I thought I'd bitten off more than I could chew. But after months of planning (and a few gray hairs later), I've learned that with the right approach, managing a large group can actually be incredibly rewarding. Here's your complete guide to group travel planning without the stress.


Phase 1: The Foundation (6-10 Months Before)


A. Start with the Big Three Questions


Before you dive into details, get alignment on these crucial points:

  1. What's the budget range? (Get honest answers, not wishful thinking)

  2. When can everyone realistically travel? (School holidays, work commitments)

  3. What type of experience do we want? (Relaxation, adventure, cultural, mix)


B. Establish Your Planning Committee


Don't go it alone! Form a small planning committee of 3-4 reliable family members.

Assign roles:

  • Lead Coordinator (that's probably you)

  • Budget Manager (the family member who's good with numbers)

  • Activities Coordinator (the fun planner)

  • Communication Manager (the one everyone actually responds to)


C. Create Your Master Spreadsheet


This will become your bible. Include tabs for:

  • Contact information and dietary restrictions

  • Budget tracking per person/family

  • Accommodation preferences and room sharing

  • Activity preferences and physical limitations

  • Flight/transport preferences

  • Important dates and deadlines

  2. Consider renting multiple nearby properties

Phase 3: The Bookings (3-4 Months Before)


A. Payment Collection System


This is where many group trips fall apart. Here's what works:

  • Payment phases and set payment deadlines

  • Use a dedicated group account or cash

  • Send regular balance reminders


B. Communication Protocol


Set Up Group Channel:

  • WhatsApp group for itineraries and documents


Phase 4: The Nitty-Gritty (1-4 Months Before)


Note: We're currently in this phase for our upcoming 18+ person family trip, so these are our planned strategies based on research and preparation.


A. Activity Planning for Mixed Groups


The Challenge: 18+ people means different:

  • Energy levels

  • Interests

  • Budgets

  • Physical abilities


The Solution: Plan in clusters

  • Must-do group activities (2-3 max): Everyone participates

  • Optional group activities (4-5 options): Sign up basis

  • Free time blocks: People do their own thing

  • Meal planning: Mix of group meals and free meals


B. Transportation Logistics

Local Transportation:

  • Pre-book large vehicles or multiple cars

  • Designate drivers and backup drivers


Airport/Travel Day:

  • Stagger arrival/departure times if needed

  • Assign meeting points

  • Share flight details with everyone


C. The Essential Documents Package

Create a shared folder with:

  • Complete itinerary with times and addresses

  • Backup activity ideas for bad weather

  • Group photo and contact sheet


The Most Important Lesson


Here's what I learned after organising the large group trip (well it's still being organised): You can't make everyone happy all the time, and that's perfectly fine. Your job as the organiser is to create opportunities for great experiences, not to guarantee them for every person every moment.


Focus on the moments when everyone's laughing together at dinner, or when different generations are sharing stories, or when someone says, "I'm so glad we did this." Those moments make all the planning spreadsheets worth it.

Day of Departure:

  •  Group chat active

  • Transportation to the airport

  •  Have fun and remember to breathe!


Planning a trip for 18+ people isn't just about logistics , it's about creating opportunities for your family to make memories together. Yes, it's challenging, but the reward of seeing your large, chaotic, wonderful family exploring the world together is absolutely priceless.
